Portfolio Usage Policy

How we publish the work we make, the consent we ask for, and how to change your mind.

Nothing on this page is legal, tax or financial advice. Until that review is complete, the terms actually agreed with you in writing take precedence over anything stated here.

Why this policy exists

A wedding is the most personal thing anyone will ask us to photograph. Publishing that work is how a studio is found, and it is also how a couple's private day becomes visible to strangers. This policy sets out how Aavira Films decides what to publish, what we ask you to agree to, and how to tell us to stop. It applies to this website, our social channels, our submissions to publications, and anything else we put our name to. Aavira Films is a brand operated by KSBM INFOTECH PVT LTD.

What we publish, and where

We publish a curated selection of the work we make: still photographs, film stills, short reels and full films. They appear on this website, on our social accounts, in our showreel, in printed samples and portfolios shown to prospective clients, in submissions to wedding publications and awards, and in our own advertising. We do not sell your images as stock, we do not license them to a brand or a vendor for their advertising without asking you first, and we do not supply them for use in an unrelated commercial campaign.

Changing your mind

You can withdraw or narrow your consent at any time, without giving a reason and without any cost. Write to our contact page with your names and event date and tell us what you would like removed. We will take the material down from anything we control — this website, our own social accounts, our showreel and our sample albums — normally within 7 working days, and we will confirm when it is done. Two honest limits. First, we cannot recall printed magazines, printed albums already produced, or copies that other people have already downloaded or reshared. Second, where an image has been submitted to a third-party publication under their own terms, we will ask them to remove it and follow it up, but the final decision is theirs. We will tell you exactly where we have asked and what the answer was.

Privacy-first events

Some events should not be published at all, and we treat that as completely normal. Where anyone in the family is a public figure, where there are security considerations, where the marriage is not public knowledge, or where you simply want privacy, tell us at the enquiry stage. We will mark the event private in our systems and nothing from it is published, submitted or shown — including to prospective clients as a sample. We do not treat a private booking as a lesser one, and we will not press you to change your mind.

Guests, families and other people in frame

A wedding photograph inevitably includes people who did not commission us. We rely on the couple, as the hosts, to let their guests know that the event is being photographed and filmed, and we ask couples to say so on the invitation or the wedding website where they can. We are happy to supply wording. If a guest asks us not to photograph them, we will respect it on the day. If a guest later asks us to remove a published photograph in which they are recognisable, they can write to our contact page and we will take it down from anything we control, without argument and without needing to involve the couple. We do not publish images of a guest in a state of undress or obvious distress, images taken during a religious rite where photography of it is not permitted, or images that hold anyone up to ridicule.

Children

Photographs of children are published only with a parent's or guardian's consent, and only where the image is plainly benign. We do not tag a child, name a child, or publish anything that identifies a child's school or address. A parent or guardian can ask us to remove any image of their child at any time, and we will do it promptly and without asking why.

Model releases

A model release is a written permission from the person in the photograph, allowing their likeness to be used. We ask for a signed release where the work is not a private commission — styled shoots, editorial and campaign work, brand collaborations, team portraits, and any shoot whose purpose is to produce marketing material. In those cases the release is agreed with each person before the shoot, and it says where the images may appear and for how long. For a private wedding, the portfolio consent in your booking agreement does that job for the couple. Where an image of an individual guest or family member is to be used prominently — as a hero image, in paid advertising, or on a billboard or a printed campaign — we ask that person for a separate release first. Where you supply a model, a performer or a professional dancer at your event, please make sure their own contract permits us to publish images of them, or tell us that it does not.

Venues, vendors and credit

We credit the venue and the wider vendor team wherever we publish, because good work is collective. A credit is not a licence. Venues, planners, decorators, makeup artists and other vendors may not download and republish our images from this site or from social media without our written permission — please see our Copyright Policy. We grant that permission readily, on the conditions that the couple has consented, the image is not cropped or re-edited, and we are credited and tagged. If a vendor has used our work without permission, tell us and we will deal with it directly rather than through you.

Submissions to publications and awards

We submit selected work to wedding publications, blogs and awards. We ask the couple before we submit, and we tell you where the submission is going. Publications usually require the vendor team and often the couple's first names; some ask for a short interview. Everything shared is limited to what you have agreed to. If you would rather not be submitted anywhere, say so — it changes nothing else about your booking.

Stock and illustrative imagery

Where a page on this site is still being built, it may temporarily carry stock or illustrative imagery. Any such image is a placeholder, is labelled as one in our content system, and does not depict our work, a real client or a real event. We do not present stock imagery as a portfolio sample, and placeholders are replaced with genuine work as it becomes available. Our Disclaimer says the same thing in more detail.

Editing and how the work is presented

Published work is edited to the same standard as the work delivered to the client — colour, contrast and retouching consistent with our house look. We do not composite people into a scene where they were not present, we do not alter the appearance of anyone in a way that misrepresents them, and we do not use generative artificial intelligence to fabricate or substantially reconstruct an image that is presented as documentary coverage of a real event. Where an image is a composite, a set-up or an artistic construction, we will describe it as such rather than let it be read as documentary.

How long we keep and publish work

Published portfolio work stays up for as long as it represents what we do; we prune and refresh galleries regularly. We retain original and edited files under the retention period stated in your booking agreement. We are not a permanent archive — please download and back up your delivered files, and do not rely on us as your only copy. Withdrawing consent removes the work from publication. It does not require us to delete our own working files, which we may need to keep for accounting, warranty and legal reasons.

Asking for images for your own use

If you want an image for something outside your own licence — a magazine feature about you, a brand collaboration, a print for a venue — just ask. Write to our contact page and tell us the image, where it will appear and for how long, and we will confirm terms. Most requests are granted quickly and many at no charge with a credit.

Changes and contact

We may update this policy. The revised version takes effect when it is published here, and the "last updated" date changes with it. A change to this policy never overrides the consent terms already agreed in your signed booking agreement.
